Key Responsibilities

  • Work under supervision of London & North American Human Resource teams with respect to payroll processing, on-boarding, communicating benefit information, 401k administration, and personnel record keeping
  • Work under supervision of London Finance team with respect to support of receivables, payables, and project invoice processing and using the BST enterprise financial application.
  • Undertake general office administration and management duties including mail, coordinating calendars, processing and maintaining personnel records, managing office equipment, technology products including mobile telephones, internet access, and video conferencing unit, office purchases, and travel arrangements, as needed.
  • Coordination and management of documents and invoice-related material for Washington office as well as for the California High Speed Rail team in Sacramento.
  • Organize meetings and the production and dissemination of documentation for and resulting from them. Take minutes and complete status reports and perform follow up actions when necessary.
  • Provide a consistent presence on behalf of the team delivering excellent customer service levels. Provide verbal and digital communications to the team, including emails and video/conference calls as required.
  • Maintain an efficient document management system (primarily online) in particular with documents and material related to proposals, project contracts, and project deliverables.
  • Support the production of proposals and other marketing materials.
  • Undertake the role in a way that is consistent with, and reinforces, Network Rail Consulting’s values.
  • Handle confidential information in a professional and discreet manner
  • Other administrative duties as assigned such as conference and event planning, liaison with building staff, and support hosting guests.

Requirements

Job Skills, Experience and Qualifications

Essential

  • Experience w/ Payroll Processing (Preferably w/ ADP)
  • Ability to multi-task
  • Demonstrated ability to handle confidential information appropriately
  • Experience in appropriate IT packages
  • Independent worker with good time management skills
  • Proficient in Excel and entire Office Suite
  • Strong organization skills
  • Excellent communication skills (verbal and written)
  • Ability to work collaboratively with a team
  • Sense of humor

Desirable

  • Basic accounting experience
  • Recognized qualification in keyboard associated skills and office management techniques
  • Knowledge and experience of records management
  • BST enterprise financial application experience
  • Experience with travel management software systems including Concur

Education

  • Associates Degree preferred.
  • High school diploma or GED required.
