The Department of Oncology is seeking a Sr. Administrative Manager that will be responsible for the following:

Division Administration:

  • Manages all faculty activities related to the HMBMT clinical practice at all practice locations. Develops attending schedules.
  • Arranges coverage for all services in Oncology to guarantee physician coverage at all times on all services
  • Coordinates and oversees facilities and space issues for the HMBMT Division faculty staff and clinical fellows.
  • Responsible for administrative oversight of the HMBMT organization unit. Analyze and implement staff structure, capabilities and development to meet the current and future needs of the division.
  • Supervises administrative staff consisting of administrative coordinators.
  • Assists faculty with human resources issues including hiring/firing, discipline, time sheet approval and other matters.
  • Acts as liaison with Oncology clinical operations as it relates to hematologic malignancies faculty practice.
  • Responsible for coordinating periodic meetings between HSBMT faculty leadership and senior administrative manager, budget analysts, and clinical research leadership regarding staffing and budgetary issues.

Clinical Practice Administration

  • Provides comprehensive reporting of all HMBMT clinical activity and clinical productivity
  • Implements systems and controls to ensure timely submission of charges and closing of encounters. Identifies problem areas, analyzes data, and develops performance improvement plans.
  • Provides on-boarding and orientation to the clinical practice to new clinical faculty, and advanced practice providers.
  • Monitors clinical practice associated key performance indicators; develops tools and processes to archive institutional standards, including bump rate; schedule utilization, cancellation rate, new patient lag time; encounter status.
  • Collaborates to recruit and support advanced practice providers. Ensures credentials are approved and maintained; evaluates workload and recommends balanced alignment of practitioner to physician.
  • Coordinates the timely completion of performance reviews.
  • Ensures provider compliance requirements are met prior to initiating clinical activity. Enrolls providers in all required courses including compliance training, Epic training. Ensures proper assignment of roles in all clinical information systems.
  • Ensures timely dissemination of Compliance Office polices and arranges in-service training when needed. Serves as the administrative representative on Compliance Office remedial training sessions with providers.
  • Assists providers with the adoption of documentation templates and work habits to ensure compliance with Institutional standards and guidelines.
  • Assist the Clinical Director and Administrators in strategic planning and special projects. Serves on committees as directed.
  • Review and participate in the preparation of business plans for existing units or potential new business opportunities, as requested by Division Director and Administrators.
  • Serves as an Epic user support expert to faculty, clinical fellows, and advanced practice providers. Engages Epic technical support and Epic Application Coordinators to address system related questions and issues. Administratively lead efforts to recommend and guide system enhancements related to the clinical practice.
  • Works with providers to adopt best practices
  • Manages all faculty activities related to the HMBMT clinical practice. including development and maintenance of provider templates.


Bachelor's Degree in business, finance, accounting, or other related field required and a minimum of five years of progressively responsibleprofessional-level administrative or financial experience related to monetary or non-monetary resources of a department, center or unit. Additional education may substitute for some expereince to the extent permitted by the JHU Equivalency Formula.

JHU Equivalency Formula: 18 graduate degree credits may substitute for one year of experience.


Masters degree desired.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
