General summary/purpose:

This position manages the Admissions and Enrollment Office, including its staff, operations, and systems, for the Whiting School of Engineering (WSE).  This office includes all graduate and STEM Programs,but does not include Undergraduate Admissions. This position reports to the Assistant Dean for Graduate and Postdoctoral Academic Affairs.

Specific duties & responsibilities:

10% -- Performance Management

  • Conduct annual reviews
  • Staff development
  • Provide ongoing feedback and constructive criticism
  • Prioritize and direct work efforts, providing guidance and direction
  • Conflict resolution
  • Motivate for higher collaboration and performance
  • Conduct interviews and make recommendations for hire
  • Promote and model a culture of exceptional customer service

65% -- Admissions/Enrollment

  • Oversees the processing of approximately 10,000 admissions applications and nearly 2000 enrollments annually, including many international students, for WSE doctoral and masters degree programs, certificates, and summer high school students.
  • Works closely with the WSE marketing team and its efforts (e.g. events, policies, websites, publications and databases) in collaboration with academic departments
  • Manages the usage of SIS, Slate, and successor/similar systems within the office
  • Assists academic departments in meeting their admission and enrollment goals
  • Works with OIS on visa issues for international students, and with academic departments on credential evaluation of international applicants, where appropriate
  • Manages Graduate Student Orientations
  • Provides excellent customer service for applicants, matriculants, departments, and centers. Manages budget and financial administration for the office
  • Responsible for all official communications with applicants

20%  Information Technology

  • Participates in a University wide work group that involves the Slate (or successor systems) implementation and on-going support.
  • Participates in information systems planning, project management, service excellence, and coordination with student information systems
  • Develops metrics, collects and reports data related to the admissions and enrollment processes in collaboration with the WSE Office of Institutional Research
  • Implements constituent customer service survey

5% -- Other Duties as Assigned

  • Serves on related school and university committees

Minimum qualifications (mandatory):

Bachelors Degree and 5 years of progressively responsible admissions process experience, including supervisory/management responsibility in a higher education admissions function preferred.

Preferred qualifications:

Masters Degree

Special knowledge, skills, and abilities:

  • Knowledge of and experience with current university academic admission methods
  • Demonstrated knowledge of current higher education admissions practices and procedures
  • Working knowledge of and experience with student information systems
  • Knowledge of federal, state and local laws regarding student privacy (eg. FERPA) and records administration and retention
  • Knowledge of and experience with effective, efficient, and confidential electronic and paper document processing and records retention
  • Knowledge of the Whiting School academic, certificate and summer programs, preferred
  • Excellent written and oral communication skills with broad diverse constituencies
  • Proven ability to supervise and value diverse staff; including coaching, counseling and mentoring staff through the use of sound management and employee relations practices
  • Proven ability to collaborate and build effective internal and external working relationships at all organizational levels
  • Ability to think strategically and solve problems effectively
  • Ability to work independently, using sound professional judgment

Technical qualifications or specialized certifications:

  • Proficiency in MS Office applications; familiarity with Slate software platform and databases preferred

Supervisory responsibility:

  • Three academic support staff expected to report to this new position.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
